Property Management is not only a function, but rather requires a various amount of skills. Time management may be the most crucial skill that property managers need to have in order to solve problems and process smooth transactions with clients. Although other skills are important to take upon yourself as a property manager, time management is the foundation for all others. Here are your top tips for managing your time to leave your clients happy and stress free.

  • Write a To-do list

Create a habit of writing a journal every night or every morning before you begin your day. Write down all of the things that you have to do and set daily goals. Also talk about your thoughts on each task and then write down the priority order of your list. When you write down things you have to accomplish, your automatically creating a “contract” with yourself, ensuring that you’ll accomplish your goals. This will also allow you to visually see where you will have free or extra time to do other things throughout your day.

  • Focus on one thing at a time

Another important point to mention is to focus only on one thing at a time. Multitasking can actually contribute to wasting more time rather than saving it. It can also make you more tired and allow for the burn out feeling far before you complete your list of things to do. Your brain can only fully focus on one task at a time, so make sure you commit your time to completing a task from start to finish in a specified amount of time.

  • Communicate with others

Communicating is crucial in any job you may do, but property management especially. Throughout your day, you’ll have many people at the office that are working on the same task, as well as tenants and landlords that will have problems. You will be in charge of communicating amongst all of the various accounts you may have, therefore if there are any changes, problems, or ideas that get out, they should be communicated to everyone who is working on that account. Time is wasted when you’re stuck explaining something to one side of the team, then repeating yourself again to another side. Transactions and problems are solved quicker and smoother when everyone is on the same page.

Mentally and physically, organization will make your work much easier. As I mentioned, creating a list of tasks to complete will help you organize your thoughts throughout your day, but that’s only part of the organizational process. As we all know, time is money, therefore you must create daily organizational habits that will help you save your time. For example, establish a team meeting time for every morning. Also ensure that your computer, desk, and office are all organized as well. Keep files for each client and organize documents. Create an organizational strategy for property keys so that everyone on the team knows where they belong. Creating small habits will ensure that you are organized, overall leading to better productivity and satisfied customers.
